Bilingual intake for South Florida law firms

REAL ESTATE LAW

The closing is Friday. The question came in Tuesday night.

Buyers, sellers, landlords, tenants, and investors all call the same number, often with a date already set. Many of them speak Spanish first. LegalCRM.pro is set up to reply within a minute, sorts each inquiry by matter type, records the key dates, and books the right attorney.

THE FAILURE

A closing and an eviction land in the same inbox

An investor with a condo closing and a tenant with a notice on the door need very different first calls. When both go to one voicemail, the urgent one can wait behind the routine one.

Real estate deals have many parties. If intake takes the whole story before it takes the other side's name, your firm may learn something it should not have heard.

WHAT CALLERS ASK

What real estate callers ask, and what LegalCRM does

Home closing

“We close next week. Do we need our own attorney?”

Records the property, the contract date, the closing date, the lender, and if a title company is involved. Then it books the attorney who handles closings.

Foreign buyer or investor

“I live in Colombia and want to buy a condo in Brickell.”

Records the buyer's country, how they plan to hold title, the price range, and the timeline. Foreign sellers are flagged for attorney review, since federal FIRPTA withholding can apply at closing.

Title problem

“The title company found a lien I did not know about.”

Records what the title search turned up, who owns the property now, and any sale deadline, so the attorney can judge how urgent it is.

Landlord and tenant

“I got a 3-day notice. What happens next?”

Asks if the caller is the landlord or the tenant, the type of notice, and the date it was served. The record is flagged for same-day attorney review.

Commercial lease or purchase

“I need someone to review a lease for my restaurant.”

Records the property type, the size of the deal, the signing deadline, and the other party's name for the conflict check before the consult.

HOA or property dispute

“My HOA is fining me and I think it is wrong.”

Records the other party, the dispute in one sentence, and any letters or deadlines. It takes only names and basics until your team clears conflicts.

ATTORNEY FIRST

Calls that go to an attorney first

A closing in the next few days, an eviction notice already served, a lockout, or a foreclosure sale date is set up as urgent. On Practice and Group, the voice agent escalates those calls to the human path your firm defines, for example the attorney on duty. The rules are configured and tested before the agent takes a live call.

No advice on the deal

The system never says if a contract is fair, a title is clean, or an eviction will stand. It records the facts and books the attorney who answers that.

Other side's name first

The other party goes into the conflict-check field before any details. Under Florida Bar Rule 4-1.18, what a prospective client shares can create duties even if your firm never takes the matter.

Notice dates recorded, not judged

Florida landlord and tenant law (Fla. Stat. ch. 83, Part II) uses short notice periods, including a 3-day notice for unpaid rent (83.56(3)). LegalCRM records the date served and flags it for attorney review. It never says if a notice is valid or how much time is left.

No money details by text

Wire instructions, account numbers, and closing funds never go into a text or chat. Messages tell clients your firm never sends wire changes by text, which helps protect them from closing fraud.

BILINGUAL BY DEFAULT

In the language they wrote in

South Florida real estate runs on buyers and sellers from across Latin America, and on local families who rent and own in Spanish. A buyer in Bogotá and a tenant in Little Havana both want to understand what is happening before they sign or move. When questions, reminders, and document requests come in Spanish, they answer faster and stay with your firm through closing.

COMPLIANCE

Not a law firm, and never legal advice

LegalCRM.pro is an intake and follow-up system, not a law firm. It does not give legal advice, and the attorney-client relationship stays with your firm.

On Practice and Group, Aday Interactive writes every message in both languages to fit the Florida Bar's advertising rules (Chapter 4-7) and the ABA Model Rules, and your attorney approves each one before anything sends. The messages answer people who contacted your firm first. They are not a tool for reaching out to strangers.

Rather have it set up and run for you? Aday Interactive does that for firms in this practice.

FAQ

Questions we get on this call

No. That is a legal question for your attorneys. The system records the notice type, the date served, and who served it, flags it for same-day review, and books the consult.
