The retainer went out Tuesday. Who followed up Thursday?
Sequences that reply within a minute, chase the intake form, remind before the consult, and re-send the retainer until it is signed or declined. Every message is a template your attorney approved, written to fit the Florida Bar’s advertising rules, in the language the person used.
BEFORE / AFTER
Follow-up today, and after
| Today | With LegalCRM.pro |
|---|---|
| A new inquiry waits for someone to have a free minute | An approved reply goes out within a minute, in their language |
| The retainer is emailed once and forgotten | The retainer link is re-sent on a schedule until it is signed or they say no |
| A no-show for the consult gets a shrug | A rebooking offer within the hour |
| Whoever writes the text decides what it promises | Every message is a template an attorney approved, written to Chapter 4-7 |
| Follow-ups go out whenever someone remembers | Scheduled follow-ups hold quiet hours, 9 PM to 8 AM; only the immediate reply to an inbound message goes out at night |
HOW IT WORKS
Trigger, send, follow, stop
-
1
A trigger fires: a form is submitted, a call is missed, a consult is booked or missed, a retainer goes out and is not signed, a matter closes.
-
2
The matching sequence sends in the language the person used. Every message in it is a template an attorney at your firm approved in advance, and none of them evaluates the case, quotes a fee, or predicts a result.
-
3
It follows up on the schedule you set, with the retainer link, the reminder, or the check-in, until there is an answer.
-
4
It stops the moment the person replies, books, signs, or opts out. STOP, ALTO, and PARE all work, across every sequence at once.
THE SEQUENCES WE SHIP
The seven sequences every build ships with
| First reply | Within a minute of a form, text, or missed call, any hour. Confirms the firm can help and offers a time. |
| Intake form chase | Sends the case intake link, with the conflict-check fields, and reminds until it comes back |
| Consult reminders | 24 hours and 2 hours before, with a reschedule link in their language |
| No-show recovery | A rebooking offer within the hour, once, then a human task |
| Retainer follow-up | The engagement agreement re-sent on a schedule, then a check-in from a person, until signed or declined |
| Not yet | For people who consulted and are still deciding, a monthly check-in, plain and unpressured |
| Matter closed | A thank-you, and a review request only where your firm has decided that is appropriate under Rule 4-7 |

BY VERTICAL
What the sequences chase in each practice area
The engine is the same. What it is chasing is not: a signed retainer, a set of documents, a decision, or a phone call at 2 AM.
Personal Injury
A first reply written for someone who was hurt today: plain, calm, no exclamation points, and no mention of what the case might be worth. Then a retainer sequence built for speed, because the signed agreement is the whole race.
Immigration
A document-collection sequence in Spanish: the list of what to bring, reminders before the consult, and a deadline-aware nudge when a filing window or hearing date was captured on intake.
Family Law
Consultation follow-up paced over weeks, not days, in a tone that reads as a person checking in rather than a firm chasing. Any stated emergency on intake skips the sequence and goes to an attorney.
Criminal Defense
The missed-call text-back is the sequence that matters. An in-custody or imminent-hearing flag on the first touch escalates to an attorney instead of into a queue.
SOUTH FLORIDA
This market inquires at night and in Spanish. The first reply has to go out at 9:41 PM, because that is when the form came in and the person is still deciding; the retainer reminder has to wait until 8 AM, because a scheduled text at 2 AM is a quiet-hours problem and a bad look. The sequences make that distinction on their own.
The Spanish is written by people who live here. A follow-up that reads as machine translation tells the family the firm stopped caring after the first message, which is exactly the moment a competing firm’s text arrives.
