Every conversation with a prospective client, text, email, call, or web chat, lands in one thread per person, whichever channel it started on.

Staff reply from the firm number, at the intake desk or from a personal phone through the app. No attorney or paralegal gives out a personal number, and nothing lives on a device the firm does not control.

Internal notes and @-mentions keep the screening conversation inside the thread and invisible to the prospective client: "conflict check clear", "wants contingency, PI", "call back in Spanish".

The inbox is the same. What comes into it, and who is on the other end, is not.
Personal Injury
Speed on the first reply and the retainer thread. The saved replies cover what a contingency fee is and what the consult costs (nothing), and none of them says what the case is worth.
Immigration
Mostly Spanish, mostly about documents and dates. Saved replies in Spanish for the document list and the consult logistics; anything about the case itself goes to the attorney, not the desk.
Family Law
Discreet by default: no firm name or matter detail in a lock-screen preview, because the other party may share the phone. A stated emergency in any channel flags the thread for an attorney.
Criminal Defense
The missed-call text-back is the single most valuable automation, and the thread it starts often belongs to a family member, not the person charged. The record captures both.
SOUTH FLORIDA
An intake desk in Coral Gables or Brickell fields calls and texts in two languages all day, and the Spanish ones are often from a relative writing on someone else’s behalf. Saved replies in both languages mean the person answering does not have to be the one bilingual staffer on shift, and the ES tag on the thread means the follow-up call still goes to someone who can hold the conversation.
